Privacy Policy

This policy is issued by In The Swing Golf LLC, a Delaware limited liability company ("In The Swing," "we," "us," or "our"), and covers www.intheswing.golf and the related services we provide (the "Service"). Questions or requests can be sent to contact@intheswing.golf.

Tournaments on the Service are hosted by independent organizers. When you register for or donate to an event, the organizer also receives your information and is responsible for how they use it. See the "Sharing with Organizers" section below.

• Account information: Email address and, if you provide them, your first and last name, handicap, and home location. If you sign in with Google, we receive the name and email address on your Google account.
• Registration and purchase information: When you register for, sponsor, or donate to a tournament, we collect your name, email, and optionally your phone number; the names, email addresses, and phone numbers of any players you register; any optional fields the organizer asks for, such as handicap, shirt size, or meal preference; sponsor display names and notes; donation amounts; and your order history and refund status.
• Payment information: Payments are processed by Stripe. Your card number and other payment details go directly to Stripe and are never stored on our servers. We receive a payment reference, the amount, and the payment status.
• Organizer information: If you apply to host tournaments, we collect your organization name, a description of your events, any course affiliation, website, and phone number. When you connect a Stripe account, we store your Stripe account identifier and the account details Stripe shares with us, such as business name, country, and whether charges and payouts are enabled.
• Location data: Your approximate or precise location, used only to find tournaments near you. See the Location Data section below.
• Event tracking: Notes and status you add to tournaments in My Events.
• Demo drafts: If you try the organizer demo, the tournament you build is stored only in your browser until you sign up to save it.
• Usage data: Device and browser type, pages visited, and performance measurements, collected through Vercel Analytics and Speed Insights, which do not use cookies or track you across sites. Our servers also keep short-term logs that include IP addresses for security and troubleshooting.
• Communications: Messages you send us through the contact page or by email.

To help you find tournaments near you, we use your location in one of two ways, only at your direction:

• Device location (GPS): Only after you grant your browser's location permission. You can decline or revoke this at any time in your browser settings.
• ZIP code: When you enter one manually.

Your location is stored locally in your browser (via localStorage) as a convenience so you don't have to re-enter it. It is not stored on our servers or used for advertising, and you can clear it at any time using the "clear" control next to your location. To convert coordinates or a ZIP code into a city and state, we send that single data point to third-party geocoding services (BigDataCloud and Zippopotam.us); we do not share any other personal information with them.

• To operate the Service and show you relevant tournaments.
• To process registrations, sponsorships, donations, and refunds, and to pass the necessary details to the organizer and to Stripe.
• To send transactional email, such as order confirmations, registration management links, and account notices.
• To review organizer applications and administer promotions.
• To respond to your questions and support requests.
• To detect fraud, protect the security of the Service, and enforce our Terms.
• To understand how the Service is used and improve it.
• To comply with legal obligations.

When you register for, sponsor, or donate to a tournament, the organizer of that tournament can see the information you provide at checkout: your name, email, phone number, the details of the players you register, any optional fields they requested, sponsor details, and the amounts you paid or were refunded. Organizers can export this information to run their event.

Organizers are independent from In The Swing. Our Terms require them to use registrant information only for their event, to keep it secure, and not to sell it, but their own privacy practices apply to what they do with it. Contact the organizer directly with questions about their use of your information.

We share information with the companies that help us run the Service. They may only use it to provide their service to us.

• Stripe: payment processing, payouts to organizers, and fraud prevention. Stripe's privacy policy applies to information it collects at checkout.
• Supabase: database hosting and account authentication.
• Resend: sending transactional email.
• Vercel: website hosting, privacy-friendly analytics, and performance monitoring.
• Google: sign-in with Google, and course locations and photos through the Google Places API. Course lookups are made from our servers and do not include your personal information.
• BigDataCloud and Zippopotam.us: converting your coordinates or ZIP code into a city and state, as described above.

We may also share information:

• For legal reasons: to comply with law, respond to lawful requests, or protect the rights, property, or safety of In The Swing, our users, or others.
• In a business transfer: as part of a merger, acquisition, financing, or sale of assets, in which case this policy will continue to apply to your information.
• With your consent: when you direct us to.

We do not sell your personal information, and we do not share it with advertising networks.

You can register for a tournament without creating an account. We will email you a private link to view your registration and fill in or update player details. Anyone with that link can view and edit the registration, so treat it like a password. We store only a hashed version of the link's secret, never the secret itself.

If you later create an account and verify the same email address you used at checkout, your earlier registrations are linked to your account so you can see them in My Events.

We send transactional email that is necessary to operate the Service, including order confirmations, registration management links, and account and security notices. You cannot opt out of these while you have an active account or registration.

We may occasionally send product updates or news about In The Swing. Every such email includes an unsubscribe link, and you can also opt out by contacting us.

• Account and profile data is kept until you delete your account or ask us to delete it.
• Order and registration records, including the buyer name and email, player details, amounts paid, and refunds, are kept for up to seven years after the transaction, even if you delete your account, for tax, accounting, fraud prevention, and dispute resolution purposes. When you delete your account, these records are no longer linked to a user profile.
• Organizer applications and Stripe account status are kept while you are an organizer and for a reasonable period afterward.
• Server logs are kept for a short period for security and troubleshooting.

We use reasonable technical and organizational measures to protect your information, including encrypted connections, access controls on our database, and hashed storage of registration link secrets. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

• Access and correction: You can view and update your profile from your profile page, and update player details for a registration from its management link or My Events. For anything else, contact us.
• Deletion: You can delete your account from your profile page. Order records are retained as described in the Data Retention section. To request deletion of other data, contact us.
• Location: Clear your saved location at any time using the "clear" control, or revoke browser location permission.
• Marketing: Unsubscribe using the link in any product update email.
• Organizer-held data: To correct or delete information an organizer holds about you, contact the organizer. Our Terms require them to honor deletion requests.

Depending on where you live, you may have additional rights under state privacy laws, such as the right to know what personal information we hold and to request its deletion. To exercise them, email contact@intheswing.golf. We will verify your request and will not treat you differently for making one.

The Service is not directed to children. You must be 18 or older to create an account or make a purchase. An adult buyer may enter a player under 18 on a team registration with the consent of that player's parent or guardian; in that case we collect only the details the buyer provides. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided us information, contact us and we will delete it.

We use cookies and your browser's local storage to keep you signed in, remember preferences such as your location, keep a demo tournament draft until you save it, and complete Stripe checkout. These are used to operate core features of the Service, not for advertising. You can clear this data at any time through your browser settings.

Tournament pages may link to organizers' own websites or to external registration sites. We are not responsible for the content or privacy practices of third-party sites.

We are based in the United States and our service providers store and process data there. By using the Service, you understand that your information will be transferred to and processed in the United States, which may have different data protection laws than your country.

We may update this policy from time to time. When we do, we will change the "Last Updated" date above and, for material changes, post a notice on the Service or email account holders.
